Recollective Job Applicant Privacy Policy

Recollective is committed to protecting our job applicant’s personal information. We gather, store and handle data fairly, transparently and with respect towards individual rights.

Purpose

This Privacy Policy is intended to inform job applicants how Recollective collects, uses, stores, or otherwise processes their personal information, including:

  • What information we collect during the recruitment, application and selection process and why we collect it.
  • How we use that information, and
  • Every job applicant's privacy rights.

Scope

This policy applies to any individual who expresses an interest in pursuing employment opportunities with Recollective, either directly or indirectly, including:

  • Job applicants
  • Individuals who attend career fairs or other recruitment events
  • Candidate in our selection/assessment process

Collection and Use of Personal Information

We use the recruitment and applicant tracking system BambooHR to facilitate the recruitment process and selection process for both applicants and Recollective, including enabling effective assessments and communication.

During the recruitment and selection process, we may collect personal information directly from applicants when considering their application.

We will collect and process personal data only as required to:

  • Assess a candidate’s competencies and qualifications in relation to the relevant position
  • Verify information provided by the applicant
  • Carry out reference checks and other background checks
  • Manage the recruitment process and communicating with candidates
  • Inform applicants of potential career opportunities
  • Make hiring decisions, prepare offers of employment and position compensation

Collection of Personal Information

Use of Personal Information

Identifiers, such as name and contact information (including address, phone number, and e-mail address) and other similar identifiers.

To manage the recruitment, application and selection process and to communicate with applicants and candidates throughout the process.

Information in connection with the job application, such as assessments you complete during the application process and information collected through the application process.

To evaluate an applicant’s attributes, qualifications and skills to determine eligibility for the role, and to prepare for interviews or screening discussions.

Information necessary to confirm your ability to work for Recollective, which we may be legally required or permitted by local law to collect as part of the application process, such as eligibility to work in a particular geographic location.

To verify employment authorization/eligibility in the country of hire.

Public information, such as social media profiles (where permitted).

To conduct a background check where lawful to do so and where such checks are considered relevant to the role.

Professional or employment information, such as certifications, résumé, curriculum vitae, cover letter, training courses, publications, transcript information, work history, professional qualifications, performance information, references provided, background information provided or confirmed by academic institutions and training or certification providers, information provided by recruiting or executive search agencies.

To evaluate an applicant’s attributes, qualifications and skills to determine eligibility for the role, and to prepare for interviews or screening discussions.

Education information, such as academic degrees, professional qualifications, certifications, training courses, publications, and transcript information.

Other information, such as any other personal data, including that which is provided via online form, during an interview, or as part of other forms of assessment.

Travel-related information, such as itineraries, flight, train, car, hotel or other similar information.

To help book travel arrangements or reimburse travel costs where a candidate is required to travel in connection with their candidacy for employment.

Preferences, with respect to you wanting to be contacted in the future regarding other job positions.

To have the ability to contact you in the future regarding other job positions.

Accommodation information, such as any accommodations required during the application and recruitment process.

To ensure we are providing required accommodations during the application and recruitment process.

Background check information, such as reference checks, criminal record checks, credit checks, social media checks, and education (school, designation, certification etc.) checks.

To evaluate an applicant’s attributes, qualifications and skills to determine eligibility for the role, and to prepare for interviews or screening discussions. To comply with relevant privacy and data security laws and regulations. Also to verify information provided by the applicant.

Referral information, such as information provided from a person who is referring a candidate to work at Recollective.

If additional information not described above is required during the application, recruitment or selection process, we will notify you at the time of collection why we are asking for it and how it will be processed.

Personal Information Sharing

Personal information may be shared during the application, recruitment and selection process in the following circumstances:

  • Internally. Personal information may be disclosed to those involved in the recruitment, application and selection processes, including but not limited to Human Resources, Hiring Manager, Selection Team, Executive sponsor or third-party recruitment agency (if applicable). Personal information will only be shared as required, and for a purpose specified above under Collection and Use of Personal Information.
  • Service Providers. Personal information may be shared with service providers in connection with the provision of services related to the recruitment, application and selection process, including, but not limited to: recruitment, talent acquisition and administration, applicant tracking, technology services, employment history verification, education verification, social media check, reference checks, and other background checks where allowed by applicable law, and employment history checks.
  • Current Employer or References. Recollective may be required to share personal information with a candidate’s previous or current employer to verify employment history, education or conduct reference checks.
  • Public or Government Authorities. We may share personal information to comply with our legal obligations, regulations, or contracts, or to respond to a court order, administrative, or judicial process, such as a subpoena, government audit, or search warrant where we are legally compelled to do so. We also may share information when there are threats to the physical safety of any person, violations of Recollective policies or other agreements, or to protect the legal rights of third parties, including our employees, users, or the public.
  • Corporate Transactions. Personal information may be disclosed or transferred to relevant third parties in the event of, or as part of the due diligence for, any proposed or actual reorganization, sale, merger, consolidation, joint venture, assignment, transfer, or other disposition of all or part of our business, assets, or stock (including in connection with any bankruptcy or similar proceeding). If a corporate transaction occurs, we will provide notification of any changes to the control of your information, as well as choices you may have.
  • Consent. We may share personal information in other ways if asked to do so or if we have been given consent.

When we share your information with third party service providers we ensure, both technically and contractually, that they will protect your information.

Recollective does not sell the personal information of applicants, nor do we share it for purposes of cross-context behavioural advertising.

Retention of Personal Information

Personal information is kept for a period of time after an online application is made. We retain this information to consider you for other current or future jobs at Recollective and to help us improve our hiring processes. When we have no ongoing legitimate business purpose to process your information, we will either delete or anonymize it.

Applicants who would like to request any of the following actions should contact us at hr@recollective.com:

  • A correction or update to personal information held by us
  • Cease or suspend the processing of personal information
  • Delete personal information
  • Port personal information to another service provider
  • Restrict the processing of personal information
  • Object to certain processing activities (e.g. profiling activities based on our legitimate interests, automated decision making, etc.);
  • Where Recollective has obtained consent to process personal information, under applicable law consent may be withdrawn at any time with future effect. If this applies, it will not invalidate (1) the lawfulness of any processing Recollective conducted prior to the withdrawal, or (2) Recollective’s continued processing of some or all of an individual’s personal information under other legal bases, where applicable.

Please note that we may be required to retain some information if required by law or as necessary to protect ourselves from legal claims.

If you wish to lodge a complaint with the relevant data protection supervisory authority in your jurisdiction, please contact them directly.

*We may need to verify your identity, and thus may request certain information from you when you submit any such requests. Under applicable law, you may also submit personal information requests through an authorized agent, in which case, we may request further information to verify the authenticity of the request and the agent’s authorization to act on your behalf.

How we Protect your Personal Information

We have implemented appropriate technical, physical, and organizational measures to protect personal information from accidental, unlawful, unauthorized loss, alteration, disclosure, acquisition, or access. Only authorized Recollective team members are permitted to access personal information of candidates and only to the extent necessary to fulfill legitimate business purposes.
